Enter a public tracking ID to search for the current status of a submitted material. Do not enter private names, emails, phone numbers, family information, or personal details.
Note: Public lookup should use tracking IDs only. Private contributor information should stay internal.

Each Submission Gets a Tracking ID
Tracking IDs help MongArchive follow a submission without exposing private contributor information.
Status May Change During Review
A submission may move from submitted to under review, needs sources, reviewed, accepted, or not accepted.
Public Details Stay Limited
A public tracker should only show safe details, such as public title, collection, status, year, and general notes.
This sample format shows how submissions can be organized. Public versions should avoid private personal information.

Recommended public version: show only tracking ID, public title, collection, status, year, and general notes. Keep contributor names, emails, private family details, exact personal locations, and sensitive information private.
Use General Public Notes
Public notes should be short and general, such as “needs citation,” “checking permission,” or “accepted for archive organization.”
Separate Internal Notes
Internal reviewer notes can include more detail, but they should not be shown publicly unless they are safe and appropriate.
Link to Final Records
When a submission becomes a public archive record, the tracker can point readers to the final public page.
The Submission Tracker should not expose private personal information. If a submission includes sensitive material, use a private internal tracker instead of a public tracker.
